What new hire paperwork do you need?

When you start a new employee there are certain legalities that must be met. Getting the initial paperwork correct is essential to make sure that you meet your employer obligations.

The Induction Process

Whenever a business hires a new employee there is always some form of induction process. The length and professionalism of this process is as varied as the businesses performing them.

But it isn't difficult once you know the process. The biggest hurdle when it comes to inducting staff is usually just finding the time! When running our own business we often don't have time to stop and scratch.

So when a new person starts on a day when you are flat out and don't have a minute to spare, it might be tempting to throw a pile of forms at this person, mutter a quick hello and then direct them to their work area. Please don't do this! As busy as you may be this is not the way to keep good staff. First impressions do count. An induction discussion is a great way to form a good first impression.

Try to dedicate 20-30 minutes to go through the paperwork and the employee code of conduct and make your new staff member feel welcome. You have incurred recruitment costs and spent valuable time and resources to attract the right candidate. Make them want to stay.

Setting Up A Personnel File

When completing your new hire paperwork you will need:

  • the employment contract
  • tax declaration
  • next of kin/emergency details form
  • superannuation form
  • bank details form

    Your new employee will need to complete and sign each of these forms.

    You should provide them with a copy of the employment contract, their tax declaration form and their superannuation form.

    The tax declaration form is in triplicate. Send the original to the ATO - Australian Taxation Office. Give your new staff member a copy and place the third copy on their file.

    Once completed send the superannuation form to the relevant super fund, give your employee a copy and place a copy on their file.

    The rest of the forms should also be placed on their file. You should have an individual personnel file for each staff member. Copies of their qualifications, application etc should all be placed within the file.


    Completing new hire paperwork is essential to meet your legal obligations. But you can also use it as an opportunity to instill a good first impression of your company. Make your new person feel glad that they have come to work for you as happy employees are more productive.
